In this role, you will ensure the smooth day-to-day operations of the office and support key administrative and operational processes across the organization. You will act as a central coordination point, managing document flow, supporting financial administration, and helping teams stay organized and efficient.
Working closely with different teams and within the Insly group, you will play an important role in keeping internal operations accurate, structured, and running smoothly.
What You’ll Do:
Owning smooth day-to-day office operations and maintaining order in internal documentation and processes
Ensuring proper and timely document flow across the organization
Managing the main company inbox and coordinating internal and external communication
Coordinating onboarding and offboarding processes (equipment, system access, workspace setup)
Administering system access and supporting the team with tools and hardware
Issuing, verifying, and controlling sales and cost invoices with strong focus on accuracy and timeliness
Monitoring receivables and supporting debt collection processes
Cooperating with the accounting office and coordinating financial and operational communication within the Insly group
Managing office supplies and workspace organization
Identifying inefficiencies and proactively improving internal processes
Supporting operational needs of sales, product, and customer success teams
What You’ll Bring:
3–5+ years of experience in operations, administration, or office management
Hands-on experience with invoicing and basic financial processes (must-have)
High level of ownership and independence
Strong prioritization and multitasking skills
Analytical and process-oriented mindset with the ability to improve how things work
Excellent organization and attention to detail
Strong communication skills and proactive attitude
Comfortable working with digital tools (e.g. Google Workspace, CRM/ERP systems)
Experience in a startup/scaleup environment is a strong plus
English at minimum B1 level
